    Kadiak, LLC, a Koniag Government Services company, is seeking a Medical Administrative Assistant to support Kadiak and our government customer in Arlington, VA.

    Essential Functions, Responsibilities & Duties may include, but are not limited to:

    • Manage and perform administrative and program duties as assigned by physician, nurse, or others.

    • Maintain medical, Occupational Safety and Health Administration (OSHA), and other documentation in print and electronic format.

    • Maintain schedule for patient exams.

    • Maintain staffing schedule.

    • Use DEA EHR for Medical Administration duties.

    • Greet all patients who enter the health unit, discerning the reason for the visit, ensuring completion of routine paperwork for clinic visits, and retrieving a chart if it is available in the unit.

    • Assist patients with completion of paperwork.

    • Completion of vaccine card when transcribed from medical record.

    • File all patient notes from a given day in charts by the end of that day.

    • Maintain emergency and non-emergency equipment.

    • Calibrate any equipment used in the unit.

    • Create, update, maintain, and assist in retirement of Employee Medical Folders

    • Collaborate with doctors and nurses to help with medical examinations, schedule tests and order supplies.

    • Answer telephone calls to the Health Services Unit and respond to requests appropriately, determine whether immediate action is required, and make complete notes regarding call backs.

    • Maintain infection control in the unit: ensure that examination rooms are cleaned after each use, cabinets are closed, unused supplies are put away, and no trash is left on cabinets, tables, or floors.

    • Complete daily log of patient visits on DEA computer, within Health Insurance Portability and Accountability Act (HIPAA) requirements

    • Ensure adequate stocking of forms and supplies.

    • Must be physically able to:

    • Walk distances while carrying heavy packs of medical supplies.

    • Assist with or transfer individuals of various weights/heights.

    • Lift up to 30 pounds, required to move or transfer supplies and equipment, or to perform an ergonomic task.

    • Bend, reach, stoop, squat, kneel, and grip to administer patient care and perform necessary employee tasks.

    • Stand for long periods of time, have good mobility skills, and be able to walk distances.

    • Sit for periods of time in meetings or while entering data or performing documentation.

    • Hear and speak to converse with personnel and supervisors.

    • Have intact near and far visual acuity and accommodation, and intact manual dexterity skills, to perform job tasks and complete documentation.

    • Demonstrate the ability to communicate effectively, to give adequate directions, information, and instructions to personnel and supervisors.

    • Obtain professional development and training to remain knowledgeable regarding current trends, information, and practices.

    • Contractor shall be responsible for expenses of license maintenance (biennial CEUs)

    Work Experience, Knowledge, Skills & Abilities:

    • Proven work experience as a Medical administrative assistant.

    • Knowledge of Medical Record creation, filing, upkeep, and retirement guidelines.

    • Hands on experience with medical software and MS Office.

    • Knowledge of healthcare operations.

    • Familiarity with medical legislation.

    • Excellent organizational and multitasking skills.

    • Customer-oriented communication skills.

    • High school diploma: certification in medical administration preferred.

    Working Environment & Conditions

    This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

    This position is primarily indoors, consistent with a standard office position and has a noise level of mostly low to moderate. The incumbent is required to stand, walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; talk and hear. The workload may require the incumbent to sit for extended periods of time. The incumbent must be able to read, do simple math calculations and withstand moderate amounts of stress.

    The incumbent must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
