Provides health information management expertise to the organization. Collaborate with a wide variety of staff in the care delivery system, information technology groups ,front-line staff and executive leadership Facilitate, plan, strategize, prioritize and audit processes that affect the clinical record of KFHPW patients. Analyze best practice workflows to ensure efficiency and efficacy meets objectives and desired outcomes. Perform quality testing for new systems and workflows. Assure the clinical record meets the clinical, legal and business requirements in a way that is timely, accurate, complete and in accordance to regulatory and legal requirements. Provide education, direction and consultation to KFHPW and WPMG staff on what constitutes quality clinical documentation. The consultant has expert knowledge on privacy and security expectations and practice. They assess practice needs and workflow and provide strategies and plans for documentation of health information. They are responsible for development and implementation of health information confidentiality and security policies statewide. The consultants need to be able to adjust quickly to changing priorities and take initiatives to make improvements.
Determine impact of errors occurring in electronic medical record.
Collaborate with cross-functional teams to establish solutions to correct errors and deficiencies.
Create process to facilitate open, honest communication of medical record errors to promote patient and a culture of safety.
Participate in analysis of client-identified issues or problems, which may require changes to procedures, standards or systems.
Maintain integrity of the medical record by evaluating procedural causes of duplicate medical records and other issues affecting the master patient index (MPI).
Assist in achieving/maintaining the master patient index data, correct duplicate medical record numbers.
Review duplicate record reports, generate data and notifications to managers, facilitate improvement in duplicate number rate.
Establish methodology for tracking, trend and informing individuals responsible for duplicates.
Provide health information management expertise to clinical and non-clinical staff and contracted providers and the clinical application systems that support KFHPW's electronic medical record.
Assure high quality and integrity of EPIC is maintained when integrating with other systems.
Work with users and peers in planning, developing, implementing, supporting new or existing applications and developing record management plans to decommission existing application.
Understand functionality of various health information exchanges and use the info to improve processes.
Understand health information management processes, policies and applicable regulatory and accreditation standards.
Provide expert knowledge on clinical information systems, information security, confidentiality and info storage.
Represent KPWA on National Health Information Management initiatives and community of practice groups.
Create training materials and educate KFHPW/WPMG staff regarding health information policies and procedures.
Develop and/or update HIM policies, procedures, job aids, standards and manuals.
Assure activities, policies and procedures related to medical records comply with state and federal requirements in addition to meeting accreditation and compliance standards.
Support the maintenance of KFHPW's role-based access matrix.
Audit for inappropriate and/or incomplete use of EPIC.
Oversee the integrity and accessibility of EPIC by administering role-based access as determined by client's business and technical requirements.
Educate requestors on responsibilities associated with accessing protected health information. Create exception access agreements when appropriate.
License, Certification, Registration
Registered Health Information Technology (RHIT from American Health Information Management Association), OR
Registered Health Information Administration (RHIA from American Health Information Management Association)
Have, or willing and able to obtain within 6 month of hire, Epic certification in at least one of the following modules: ROI, Chart Deficiency, Identity, Security
Health Information Management/Medical Record experience in an ambulatory setting.
Ability to understand and navigate health information system.
In-depth knowledge of health information management principles including state and federal regulations, accreditation standards, privacy and security laws and regulations.
Ability to think and work independently while using good judgement.
Demonstrable proficiency with Microsoft Word and Excel (spreadsheets, pivot tables, data bases).
Strong analytical, independent decision-making, problem solving, verbal and written communication skills.
Ability to facilitate diverse groups and understand information technology concepts.
Ability to adapt to changes in priorities, then set and organize own priorities in a way that supports the bigger picture.
Demonstrated success in consulting, taking initiative, independent thinking, prioritizing tasks and monitoring progress of projects.
Demonstrable knowledge of information technology terms.
Proven success in creation of workplans, timelines, meeting milestones and deadlines.
Successful record of developing policy and documentation to support improvement efforts.
History of using electronical medical record system(s).
Successful history of facilitation of process improvement activities.
Five (5) years of health information management experience in inpatient and ambulatory care settings.
Bachelor degree in health information management or health informatics.
