Job Summary:


The Employee Health Information Technician is responsible for all duties of managing Associate Health Records, assisting with annual health clinics, bi-monthly Health Station, appointments, monthly reports, and providing secretarial and job related assistance to the Occupational Health Nurses. This position works under the supervision of the Occupational Health RN Team Leader.

Essentional Job Functions:

1. Responsible for daily entry and analysis of associate health records into a computerized system.
2. Processes all Laboratory, Radiology, and Company Care reports and follows up for compliance with associates.
3. Maintains an efficient record and filing system, including information of confidential nature.
4. Receives incoming telephone calls when requested. Handles routine inquiries on immunization records or refers callers to appropriate person.
5. Monitors incomplete health records and sends monthly notice to associates for follow-up.
6. Assists with injury/illness reports, including Workers' Compensation First Reports, WC billing, and OSHA 300 Log record.
7. Prepares monthly statistical reports for number of visits/contacts in the department when requested.
8. Verifies receipt of proper authorization before release of medical information.
9. Responsible for maintaining proficient flow during weekly orientation at the health station.
10. Maintains current health records and eliminates terminated records.
11. Reviews associate records for completeness prior to filing in permanent cabinet.
12. Maintains one year of terminated records on-site and arranges for off-site storage of terminated records.
13. Selects and retrieves health records as requested by Occupational Health Nurses.
14. Assists Occupational Health Nurses in the preparation of meeting material and reports.
15. Assists with developing forms and typing policies and procedures to comply with regulatory agencies.


16. Receives and reviews all incoming mail and correspondence and distributes to appropriate person/department.
17. Prepares necessary purchase orders, supply orders and maintenance repair requisitions for the efficient operation of Employee Health Services.
18. Works cooperatively with Human Resources and keeps informed of pertinent information on new hires, leave of absences, and terminations.
19. Maintains Excel spreadsheets for data entry of projects, (i.e., medical surveillance, asbestos screening, audio screening, health stations, flu, respirator fit, immunizations, and epidemiology reports)
20. Assists with other functions in the department as required.
21. Maintain patient confidentiality.
22. Maintain professional demeanor at all times.
23. Attend and participate in staff meetings.
24. Attend any educational seminars as requested.
25. Read and comply with all policies and procedures and personnel policies as stated.
26. Understand and demonstrate compliance with HIPAA regulations.
27. Understand and demonstrate the twelve (12) behavior standards for "Embrace the Spirit".
28. Understand and demonstrate the seven (7) "Standards of Conduct" as defined in "Our Values and Ethics at Work" reference guide.
Marginal Job Functions:

1. Sets priorities on workflow and completes assigned task/projects in a timely manner.
2. Maintains a neat and orderly appearance of the folders and records within the filing system.
3. Performs secretarial work as required for Employee Health Services.
4. Maintains current Rolodex system.
5. Maintains a clean and neat work area.
6. Works to maintain a positive team relationship with co-workers.





Education:


High school graduate or equivalent. Graduation from an accredited business college or equivalent work experience.
Microsoft computer training and work experience beneficial.
Medical terminology course helpful.
Experience:
* Good listening and communication skills.
* Good telephone and customer service skills.
* Previous medical office experience preferred.
* Previous public service experience preferred.
* Strong computer background.
* Familiarity with health insurance plans, including Medicare, Medicaid, and managed care helpful.
License/Certification:
* None
